The Tender Coordinator, Offshore Wind plays a crucial role in supporting the tender process and business development for the Offshore Wind Department
Function description
You will collaborate with cross-functional teams, prepare and submit bids, and ensure compliance with all requirements. Your attention to detail, excellent communication skills, and ability to meet deadlines will contribute to our success in securing new business opportunities. The position reports to the Tendering Manager, Offshore Wind.
- Coordinate with internal stakeholders (engineers, project managers, etc.) to gather technical and commercial data.
- Prepare and manage tender responses, including technical proposals, commercial offers, and supporting documentation, ensuring accuracy, completeness, and adherence to guidelines.
- Schedule and facilitate tender review, approval, and other relevant commercial team meetings including taking minutes.
- Manage tender documentation including downloading documents from clients, organizing internal deliverables, and uploading submittal packages to client portals.
- Maintain accurate records of all tender submissions, correspondence, and outcomes.
- Collaborate with commercial team to understand client needs and tailor proposals accordingly.
- Identify and implement process improvements to enhance efficiency and effectiveness of the tendering process.
- Analyze tender documents and identify key requirements and specifications and ensure compliance with all tender requirements, including legal, technical, and financial aspects.
- Develop, track, and maintain bid schedules and timelines to ensure on time submittal.
- Provide administrative and logistical support to the commercial and business development team.
- Coordinate with external clients and manage correspondence and follow-up.
- Update and maintain pre-qualifications on client and industry portals.
Requirements
- Bachelors degree in related field - Construction Management, Engineering, Maritime, Marine
- Ideal candidate has 2 to 5 years of experience in commercial tendering/bidding, procurement, and/or document management.
- Experience in an offshore energy industry is a plus.
- Self-starter, willing to learn, and capable of managing multiple projects and priorities in a dynamic, fast paced environment.
- Excellent skills in planning and organization, as well as verbal and written communication
- Must be able to work in an in-office work environment; hybrid schedule of 4 days in the office and 1 day remote.
